Troubleshooting Email Issues

Email is a way of communication which enables us to send and receive messages. Its underlying technology is complicated, insecure, tedious and convoluted but is essential for working online. It can be very infuriating when the email is not working. So, let’s see how to troubleshoot for a few common issues.

  1. Spam bin: If the emails are not being received, then it may be getting spammed or blocked due to firewall/blocking/ filtering rules. The emails may lie in the spam folder or trash folder. So, try to change the settings like lower the spam threshold or add the email address to the permanent “allow list” etc. If you don’t have control over the receiving client, then try to send it to an alternate email address.
  2. Check Email Address: If the expected email is not getting spammed or blocked, then you have to check if there is any issue with the email address like –
    “To” email address is incorrect
    2)“From” email address is incorrect
    3)The email account is unavailable or non-existent.
    4)The email account may be blocked.1)Check the Plugins: Some of the emails that can be sent, use plugins like Contact form, Chat or Forum, Membership, email alert etc. Plugins can sometimes be the cause of why you may not be receiving some of the emails. So if you think that is the issue, you can check a couple of things-
    2)The plugin settings
    3)Other plugins like security or caching plugins
  • A typing error in the email address
  • The server configuration
  • Site error or debugs
  1. Check Server: The servers got features like firewall, anti-spam, blacklist rules etc. which can cause disruption in sending and receiving emails. Some causes of the issues may lie in –
    1) Server settings like email settings, firewall rules, etc.
    2) Server’s MX, DNS, and Zone records.
    3) Server’s mail queue to see if any emails are piped up.
    4) Server’s error log
    5) Server documentation mentioning hosting rules, email policy etc.

To check if some server settings is preventing it-

1) Try sending an email from a different site but stay on the same server.
2) Send an email from the same site but using a different plugin.

4. Email receiving and sending delayed: This could be an issue if the Disk Quota has been surpassed. You need to contact your service administrator to look into the issue but before that archive all your email folders and check out your Sent/Deleted Items and Junk folder if any important email is not left out.

5. Trouble opening attachments: If you are facing trouble viewing attachment, check whether if you got the supporting software to open and read the type of file.
